Which document do you need?

We first clarify the purpose: family history, a maiden name, a birthplace or a documented link to an earlier generation. This determines whether a scan is enough or an institution-issued document is needed.

For official submissions, ask the receiving institution about its requirements for format, certification and translation. An archival discovery alone does not guarantee that a document will be accepted or that a particular decision will follow.

Birth, marriage and death

A birth record names the parents. A marriage record explains a change of surname and may identify where the couple came from. A death record can add dates, addresses and family details.

More recent civil records are usually sought through Ukraine’s civil registry offices; older ones through archives. The location of each register must be checked, as it may cover several years or may not yet have been transferred.

Records that bridge the twentieth century

A passport application (Form No. 1), household register, house register or resident card may add birth details, family members and movements. The information varies between records, and not every collection has survived.

Access to more recent personal records depends on the applicant’s grounds for access and the institution’s rules. Before applying, check what proof of relationship or authority is required in your case.

War, displacement and records abroad

A military booklet, questionnaire, letter or repatriation record may identify a birthplace more precisely than family memories. Records from Polish civil registry offices and other institutions abroad may form part of the same family trail.

I first establish what needs to be confirmed and where the record may be held. We then agree on the feasibility of the search, obtaining a copy and any additional expenses.

Information needed for an assessment

Send the full name, type of event, approximate year and place. If certificates disagree on names or dates, describe the differences. You do not need to decide which version is correct: resolving the discrepancy is part of the research.

An individual search starts at UAH 1,200. For a chain of several documents, we agree on the sequence, budget and deliverable for each stage.

What if the surname is spelled differently?

We compare all available details: parents, spouse, place, age and chronology. Differences in spelling are documented, never ignored or altered in the original.
